Loadful is one workspace per carrier. Everything you set up — rigs, drivers, costs, your Super Dispatch book, the bank feed — belongs to the company, not to the person who typed it in, so a dispatcher you invite later sees the same book you do.
1. Create your account and your company
- Click Request access on loadful.ai — it takes you straight to sign-up — and sign up with your work email. Sign-in is handled by our authentication provider, Kinde; Loadful never sees your password.
- Type your USDOT number and click Look up. Loadful fills in your legal name, MC number and address from FMCSA. Check them and correct anything out of date — you are the authority on your own company. If the lookup cannot find you, fill the details in by hand.
- Tick the box agreeing to the Terms of Service and Privacy Policy, and create the company. That is the workspace your book lives in, and it starts your 14-day free trial — no card needed.
- If someone at your company already uses Loadful, do not start a second company — ask them to invite you instead (step 3). Two companies means two separate books that cannot see each other.
2. Set up
Two short steps follow. Each has a Do this later button, and anything you skip waits for you on the checklist.
- Add your trucks — a unit name, open or enclosed, and how many cars it carries. Use the unit name your drivers and Super Dispatch use; it is the key every other screen joins on.
- Connect Super Dispatch — sign in once for server sync and your first sync starts in the background.
Once your book has synced, Loadful shows you your last 90 days — what you hauled, your best lanes and what they paid — before you land on the dashboard.
The Overview then carries a setup checklist — invite your team, set driver pay, set what each truck costs to run, connect your bank — until each item is done. Truck details, drivers and your company profile can all be changed later from Fleet and Settings.
3. Invite your team
- Go to Settings → Team, enter each person's email and choose their role (below).
- They get an invite email from Kinde. Accepting it puts them straight into your company. If they signed up on their own first, they land on a screen that finds the pending invite and offers to attach them to it.
- When someone leaves, remove them from the same screen the day they go.
Roles
Every member has one of three roles, and Loadful enforces it on its servers, not just by hiding menu items:
- Admin
- Everything: operations, and all the money — P&L, trip profit, banking, books, cash and checks, driver pay, truck costs — plus billing, the team and security settings. Whoever creates the company is its first admin.
- Dispatcher
- Runs operations: loads, trips, planning, drivers, trucks, inspections and syncs. Sees no money figures.
- Viewer
- Sees operations read-only — no changes, no money figures. Viewers are free.
Change someone's role from the Team roster at any time. A company always keeps at least one admin. The pencil beside a person sets what your company calls them — on the roster and wherever a lead, a customer or a task is assigned to them — without changing how they sign in; useful when a shared login was signed up under the company's name.
Drivers are not team members. They never sign in to the dashboard; they use the driver app with a code you issue from Fleet → Drivers.
Two-factor sign-in
Settings → Security can require a second factor for every member. Members without one are asked to enrol at their next sign-in. If a dispatcher loses their phone, reset their factor from the Team roster and they enrol again.
4. What to do next
- Connect Super Dispatch so your book and trips arrive.
- Set each rig's costs and each driver's pay — until you do, the P&L cannot cost a trip.
- Plan a trip from the live board.
The Overview screen carries a setup checklist until these are done, and most dashboard screens have a How this works button that explains the screen.
